Quotations, invoices and receipts

What should a Zambian business look for in quotation software?

Three things decide whether it is worth the money. The quotation has to carry your own products and prices without retyping them, so the figure a customer gets matches the catalogue. It has to become the invoice, the delivery note and the receipt without anyone typing the line items a second time. And the customer has to be able to tell it is really from you. O'Sense does all three: SalesOps writes the document, Inventory supplies the products, and every document carries a code that opens your own record for it.

How do I turn a quotation into an invoice without retyping it?

In SalesOps a quotation converts to an invoice, then to a delivery note and a receipt, carrying the same client, the same line items and the same prices each time. Nothing is re-keyed, so the four documents agree with each other and with the stock list they came from.

How can a customer check that an invoice or quotation is genuine?

Every quotation, invoice, receipt and delivery note O'Sense produces carries a code. Scanning it opens a public page showing your own record for that document: who it is from and to, its number, date, total and standing. Because the page reads the live record rather than the file, a document you have since withdrawn says so and tells the holder not to pay it.

Can I send invoices and quotations to customers on WhatsApp?

Yes. Documents go out on the WhatsApp number you already deal with the customer on, as a PDF. SalesOps can also draft the follow-up message itself, from the client's own last feedback, with a product photo attached.

Can I issue receipts and delivery notes as well?

Yes. Receipts and delivery notes are part of the same chain in SalesOps, built from the invoice they belong to, so there is a real record of what left the warehouse and what the customer signed for -- not a text message.

CRM and sales

Does a small Zambian business actually need a CRM?

If customers live in WhatsApp threads and a notebook, a CRM is the difference between chasing the loudest customer and chasing the closest deal. What it gives you is a single list of every client with the stage of the deal, the priority, and the date you last visited -- so an account going quiet is visible instead of forgotten. How do I find new business customers in a Zambian town?

SalesOps has a prospecting tool: choose a town and a kind of business -- distributors, schools, clinics, farms, mines, hotels, shops, construction, manufacturers, logistics, NGOs -- and it returns up to 25 verifiable businesses with a phone number and address. You tick the ones worth keeping and they are lodged in your pipeline with a duplicate check, exactly like a client typed in by hand.

How do I know which deal to chase first?

Sales Intelligence Analytics, part of SalesOps, scores every open account for how close it is from the notes, visits and quotes your team already records, and names the recommended next step. It also counts what each salesperson actually did -- clients added, notes written, follow-ups sent, visits logged -- rather than estimating.

Payroll, PAYE, NAPSA and NHIMA

How is PAYE worked out on a Zambian payslip?

PAYE is Pay As You Earn: income tax the employer deducts from each employee's pay every month and remits to ZRA. It is charged in bands, so the first slice of pay is untaxed and each slice above it is taxed at a higher marginal rate. Because ZRA changes the bands with the national budget, Xeel keeps them as configuration your company updates rather than figures frozen into the software.

What are NAPSA and NHIMA, and who pays them?

NAPSA is the National Pension Scheme Authority contribution and NHIMA is the National Health Insurance scheme. Both are a percentage of pay, and both are shared: the employee's share comes off the payslip and the employer pays its own share on top. NAPSA's employee contribution is capped at a monthly ceiling. Xeel computes all of it on every pay run, for every employee.

Does O'Sense calculate PAYE, NAPSA and NHIMA automatically?

Yes. Approve the roster once, and each pay run works out PAYE, NAPSA and NHIMA per employee, shows them line by line on the payslip with gratuity and leave accruing alongside, and records what the company owes. No spreadsheet is involved and no deduction is typed in by hand.

When are statutory returns due in Zambia, and does O'Sense track that?

Statutory contributions are returned in the month after the period they cover, on a day ZRA sets. MoneySense carries a statutory calendar that shows what is due and when, and the due day is configuration your company keeps -- because a filing deadline can move.

Can I send payslips to employees on WhatsApp?

Yes. When a pay run is released, each employee's payslip goes to them as a PDF on WhatsApp. That is usually the only copy an employee keeps, which is why it is also the document O'Sense makes verifiable.

Can a bank verify a payslip from O'Sense?

Yes. Each payslip carries a reference worked out from its own figures and a code that opens a public page which works those figures out again. The page confirms them only when the reference matches, so a payslip with a figure typed over it fails to verify. It is built from the numbers rather than the file, so it survives being printed, scanned and forwarded.

How do employees request leave?

They text it. An employee sends something like "leave 3-7 March, sick" to the company's O'Sense number; HR's phone receives it with Approve, Reject and Ask-for-change buttons, and one tap records the days and updates the balance. No form is filled in by anyone, and the conversation behind each request is kept.

How do I stop staff clocking in for each other?

Cards get lent and PINs get shared; a face does not. Xeel clocks a worker in with their face on their own phone -- a blink, a match, a timestamp -- recording where and when it happened and whether they were late. It works with no signal and syncs later, and the face template is encrypted and never leaves the worker's phone, so there is no per-worker licence to pay.

ZRA, tax and accounting

Does O'Sense help with ZRA compliance?

It does the arithmetic and the record-keeping, not the filing. MoneySense works out what you owe -- PAYE, NAPSA and NHIMA from payroll, turnover tax on sales -- produces a VAT return summary and the supporting reports, and shows what falls due and when on a statutory calendar. Submitting the return to ZRA is still something you do; O'Sense is where the figures and the evidence come from.

What is turnover tax and who pays it?

Turnover tax is charged on a small business's sales rather than on its profit, which makes it simple but unforgiving: once a sale is invoiced the tax is due whether or not the customer ever pays, because there is no bad-debt relief. It applies below an annual turnover threshold, with a monthly amount exempt. MoneySense computes it per month from your own sales, using the rate and thresholds your company records.

Can I produce a VAT return summary?

Yes. MoneySense produces a VAT return summary alongside aging, customer statements, sales and expense reports, all drawn from the same ledger -- so the figures on the return and the figures on the statements are the same figures.

How do I get financial statements for a bank or an investor?

MoneySense produces a statement of financial position, a profit and loss with a gross-profit line, a classified cash flow and changes in equity, for whatever period you choose, with comparatives. A digital auditor runs audit-readiness checks over your own ledger, and the findings are sealed into a pack with a code anyone can scan to confirm the pack still matches the record.

Can I log an expense by photographing the receipt?

Yes, and this is the part people use most. Send a photo of the receipt to your company's WhatsApp accounts number; AI reads the amount, the date and the supplier and posts the expense to the right account, keeping the photograph as proof. The person who paid for fuel at 11:23 never has to sit at a computer at 17:00.

Does it reconcile the bank statement?

Yes. Import the statement and MoneySense matches each line to the expense or income it already knows about, suggests an account for the rest, and shows what is still unposted with a one-click fix.

Stock and the online store

How do I put my products online without building a website?

Mark a product visible in Inventory and it appears on your own public store page, on a customer's phone, with your WhatsApp one tap away. There is no separate site to build or maintain, and the store sells from the same product list your counts and quotations use.

What happens when a customer asks for a price online?

The request arrives as a quote request with the items and the buyer's WhatsApp number attached, and you agree the price from there. For goods like cement, iron sheets or custom work -- where the price depends on quantity -- that is how the trade actually works, so there is no checkout pretending otherwise.

Can I count stock at the end of a period?

Yes. Inventory holds every product with its price, category and count, says so when something runs low, and supports a stock count you can actually perform -- which then adjusts closing stock in the books.

Workshops, field teams and schools

How do I remind customers when a service is due?

Close the job in Workshop and pick when the next service falls due -- one month, three, six. When the date arrives O'Sense sends the customer a WhatsApp message itself, and they book again. Every forgotten service is a customer lost, and this is the part that stops it.

Does a repair job keep a history against the equipment?

Yes. A Workshop job card holds the diagnosis, the parts used, the labour, the warranty and the completion notes against the specific asset -- by type, serial and description -- so the next time that machine comes in, its whole history is already there. Closing a job generates a printable QA certificate for the client.

How do I know what my field workers actually did today?

FieldOps puts every site on one map and shows who is on it, the route each worker walked, and the places they stayed put the longest -- so a 41-minute stop looks like a 41-minute stop. Each visit carries its arrival time, departure time and duration, and the photographs taken on it are stamped with the spot they were taken rather than the spot they were uploaded from.

Can a security company see where its guards patrolled at night?

Yes. A radio tells you a guard answered; it does not tell you where he was. FieldOps records the round from the guard's phone: where he walked, which checkpoints the trail passed through, how long he stayed in one place, and the stretches where nothing was recorded at all. The night's report is ready in the morning rather than written up from memory.

How do drivers prove a delivery was made?

The delivery is handed over against the invoice it belongs to: the customer gives a code that the phone checks without needing signal, signs on the handset, and any payment taken is recorded on the handover. Accounts post the money at cash-up at the end of the run -- deliberately not automatically, so a payment is never counted twice.

What if a worker will not use an app?

FieldSense Chat takes the report over WhatsApp instead. You issue an invite code, the worker messages it once, and from then on that number can send a message, a photo, a voice note or a dropped pin against a site. Voice notes come back as text beside the audio, so a supervisor reads a shift in a minute. No download, no login, no password to lose.

How can parents see the school bus?

Route43 gives each child a printed QR tag that the bus attendant scans at pickup and drop-off; the scan works with no signal at all. When it syncs, the parent's WhatsApp receives a message that the child boarded and a live link to the bus -- no app to install, no login. Gate collections are recorded with a photograph of whoever collected the child.

Buying, pricing and support

What does O'Sense cost?

The employee register -- adding your staff, inviting them, departments and positions -- is free with every plan. Each app is then priced on its own per month: Xeel's paid half, SalesOps, MoneySense, Inventory, Workshop, Route43 and FieldOps. Do I need to install anything?

Not for the office. O'Sense runs in a browser at app.osense.io. The O'Sense app on Google Play is for people in the field -- face clock-in, photographing receipts, and the school run -- and each person's phone shows only the modules the office has switched on for them.

Does it work where there is no internet?

On the phone, yes -- that is the point of it. Clock-ins, receipts, school-run scans and field work (locations, photos, voice notes, job checklists, delivery handovers) are written to the handset first and sync when a connection returns, keeping the time they actually happened. FieldOps also holds offline map tiles for the area you work in. The web dashboard needs a connection, as any browser does.

Is my business data safe, and who can see it?

Your records are yours. Within your company, people see what the roles you set allow. Face templates never leave the worker's phone. The public verification pages show only what is already printed on the document in someone's hand -- never a line item, never a note, never anything about your position. Is O'Sense built for Zambia specifically?

Yes.
